LMS or Custom Elearning Platform: Which to Choose?

You want to teach online. Maybe you run a school, a training centre or a business that sells courses. Now you face a choice. Do you set up a ready made learning management system, or build a custom platform?
Both can work. The wrong choice costs months. This guide helps you decide with plain questions and a simple table.
What each option means
A learning management system, or LMS, is software that already handles courses, lessons, quizzes and student accounts. You install it, add your content and start. Many are free to start with, and some are paid.
A custom elearning platform is software built around how your organisation teaches. Everything from the student dashboard to the way payments and certificates work is designed for you.
Start with your needs
Answer these questions before you look at any product.
- How many students do you expect in the first year?
- What do you teach, and in what format? Video, text, live classes, quizzes, assignments?
- Who pays, and how? Students, parents, employers or sponsors?
- What must students receive at the end? A certificate, a grade, a report?
- Who will manage the platform every day?
- What internet connections do your students use?
Write the answers down. They matter more than any feature list.
Side by side comparison
| Question | Ready made LMS | Custom platform |
|---|---|---|
| Time to launch | Fast | Longer, planned in phases |
| Upfront cost | Lower | Higher, quoted after a call |
| Fit with your process | You adapt to the tool | The tool adapts to you |
| Unusual features | Limited or needs add ons | Built to your list |
| Ownership | Depends on the product and licence | You own the result |
| Ongoing work | Updates and plugin checks | Support plan with your developer |
| Growth | Fine for most small and mid sized courses | Planned around your expected load |
When a ready made LMS is the right choice
- You are testing demand and have not sold a course yet.
- Your needs are standard. Lessons, quizzes, certificates and payments.
- You have a small team and a small budget.
- You want to launch in weeks, not months.
- You are happy to change your process to fit the tool.
Start here if you are unsure. You learn what your students need, and you can move later.
When a custom platform is worth it
- Your teaching method is unusual and the tools do not fit it.
- You need to connect several systems, such as fees, results, attendance and parent accounts.
- You need strict control over data and who can see it.
- Your students use weak connections, and you must control how pages and videos load.
- You plan to sell the platform itself as a product.
- You have outgrown your first LMS and its workarounds cost more than a rebuild.
We built eStudyUniverse, a learning platform now used by over 10,000 students. You can read the eStudyUniverse case study to see how we approach a platform at that scale.
Hidden costs to ask about
With a ready made LMS
- Paid add ons for features you thought were included.
- Fees that grow with the number of students.
- Limits on exporting your student records.
- Time spent on updates and fixing conflicts between add ons.
With a custom platform
- Time spent writing a clear brief before work starts.
- Hosting and support after launch.
- Your own time for decisions and testing.
- Content creation, which is never part of the software.
A middle path
You do not have to pick one for ever. Many organisations begin with a ready made LMS, collect feedback for six months and then decide which parts need custom work. Keep your content, your student records and your brand assets in formats you can export, so a move later is easy.
Think about low bandwidth early
Whichever route you choose, test it on a phone with a weak connection. Long videos and heavy pages lose students. Offer text versions of lessons, keep pages light and let students download material where possible. This costs less when you plan it at the start.
Plan your content first
The software is only half of a learning platform. The other half is the teaching material, and it often takes longer than the build. Before you pick any option, check that you can answer these questions.
- Who writes and records the lessons?
- How many lessons will exist on launch day?
- How often will you add or update lessons?
- Who answers student questions, and how fast?
- How will you check that students learned something?
An empty platform is worse than none. Launch with a small number of good lessons and grow from there.
Questions for any vendor or developer
- Can I export all student records and content at any time?
- Who owns the content and the student data?
- What happens to my site if I stop paying or stop working with you?
- How do students pay, and how do I match payments to accounts?
- How do you handle backups and security?
A quick scoring method
If you still cannot decide, score each statement from 1 to 5, where 5 means “this is strongly true for us”.
- We need features that standard tools do not offer.
- We must connect the platform to other systems.
- We expect to sell access for several years.
- Our process is unusual and we do not want to change it.
- We have a budget for build and support.
A high total points to a custom build. A low total points to a ready made system. A middle score means start with a ready made LMS and review after six months.
Decision checklist
- I wrote down my needs for students, payments and certificates.
- I know who will manage the platform each day.
- I compared the real cost for the first two years, not only the first month.
- I checked how I can export my data.
- I tested a sample lesson on a phone with a slow connection.
- I know which features are essential and which can wait.
